Task and finish groups

What is a Task and Finish Group?

A Task and Finish Group brings together a team of Saxon Weald customers to look closely at the services we provide. By sharing their experiences, asking questions, and reviewing information, the group helps us understand what works well and what we can improve.

Each project looks at a particular service or topic. Group members gather evidence, speak with customers and staff, and explore how services are delivered. They look at the service from a customer’s point of view and give honest, helpful feedback. Their role provides independent challenge and constructive feedback, and helps keep customers’ views at the centre of our decisions.

At the end of the project, the group writes a report about what it found and what they suggest changing. These recommendations are then presented to the Customer Experience Committee and they help to shape future improvements.

By joining in a Task and Finish Group, customers play a direct role in helping Saxon Weald improve services and make a positive difference for customers in our communities.

A Note from your Resident Task and Finish Group Chair, Jacqui Garman

Turning lived experience into real Change

When I first stepped into the role of Chair for our Task and Finish Group (TFG), I knew we had a real opportunity to give residents a genuine voice. But what has inspired me most along the way isn't just the formal reports we produce - it’s watching what happens around the table during every project.

I’ve seen residents from all walks of life come together, build confidence, and learn completely new skills. I’ve watched people who started out feeling frustrated turn that energy into forging genuine friendships and gaining a deep, practical understanding of how Saxon Weald operates behind the scenes.

Every single project ends with a productive piece of work that drives real, lasting changes for real lives across our communities.

How it works: Short-term projects, lasting impact

We know our residents lead busy, complex lives. Whether you are working full-time, raising a family, or managing a health condition or neurodiversity, your time is precious. That is why we keep the structure straightforward, accessible, and time-limited:

  • Short-term commitment: Each project focuses on one specific topic and has a set number of meetings agreed in advance. Once those sessions are finished, the project is complete - you aren't signing up for an endless committee.
  • A diverse team: We bring together a diverse, group of residents to exchange ideas and share honest lived experiences.
  • Working alongside staff: The relevant member of staff from Saxon Weald joins us in the room to listen, answer questions directly, and work through solutions with us.

You don't need any special qualifications or background in housing. You are already an expert in your own lived experience as a tenant.

Where we’ve made a difference so far

Together, our resident-led groups have scrutinised five major areas of service delivery:

  1. The Lettable Standard (raising the quality of homes when new tenants move in)
  2. Neighbourhood Services (how our estates, grounds, and communal areas are maintained)
  3. Complaints Communications (making sure customer feedback is handled fairly and transparently)
  4. Anti-Social Behaviour (ASB) (improving response times, communication, and support for affected customers)
  5. Property Safety (looking beyond legal minimums so people feel truly safe in their homes)

Practical fixes for real lives

From recommendations to real-world change

Our work doesn't gather dust on a shelf. Once a Task and Finish Group completes its review, we present a robust set of recommendations to senior leaders and the Customer Experience Committee.

Crucially, our involvement doesn't stop when the report is handed in. We work to ensure those recommendations are accepted, and we stay involved to monitor their implementation across Saxon Weald.

A great example of this in action is our work around Neighbourhood Services, where the group recommended that fireproof noticeboards be made available in all communal blocks. These boards are regularly updated with cleaning schedules and exact dates for groundskeeping and grass cutting, so customers always know what is happening on their estate. As we’ve just wrapped up and submitted our Property Safety report, we are already looking forward to seeing those next recommendations put into action too!

Come and join us!

If you’ve ever wanted to see how things work, learn new skills, meet fantastic neighbours, and make a genuine difference to where you live, I’d love to welcome you to our next project. Keep an eye out for our recruitment drive for new members.

Your perspective matters, and together, we really do make things better.
